What is it?
Please watch this brief introduction video, and read on to learn more!
Quick Editor is a feature within GoGuardian Admin that allows admins to quickly filter URLs and apply changes to multiple policies at once. The Quick Editor works by storing URLs added by admins. URLs can be added to the Quick Editor by admins in several locations throughout the product. While these URLs are stored, admins can use the Quick Editor to rapidly allow or block several URLs at once. These changes can then be applied to multiple polices concurrently.
The Quick Editor is a great way to modify several policies at once.
Where is the Quick Editor?
The Quick Editor is located near the top right of GoGuardian Admin.
The location may change slightly depending on which section of GoGuardian Admin you are viewing, but it will always be in the top right and look the same. Here is an example if you were viewing Configuration:
How do I use it?
The Quick Editor allows admins to store URLs found throughout GoGuardian Admin, and then modify them rapidly and easily. Adding URLs to the Quick Editor causes the Quick Editor to show a red icon, indicating how many items have been added.
Clicking on Quick Editor will open the Quick Editor tool in a large window, and show you any sites that you've added. You may then allow or block these sites, and apply the changes to any policies to which you have access - based on your Organizational Unit access in Organization Management.
For more information on having Organizational Unit access and how that affects GoGuardian Admin, please see GoGuardian Admin Configuration Updates.
Note: at this time, only URLs can be added to the Quick Editor. Other items such as videos, searches, or docs cannot be added.
Adding URLs to the Quick Editor
Adding URLs to the Quick Editor can be done from many locations within GoGuardian Admin.
In the Dashboard, click on View More at the bottom of the Top Websites list.
Within the Top Websites window that opens, you can add a URL to the Quick Editor by expanding the three vertical dots, and choosing Add to Quick Editor.
While in the Activity tab, click the three vertical dots on the far right of any URL and then click Add to Quick Editor.
Note: this is only available for the "Websites" section, and what is categorized as a website in the "All" view. Docs, Videos, and Searches are not able to be added to the Quick Editor at this time.
While in Flagged Activity, click the three vertical dots on the far right of any URL and then click Add to Quick Editor.
Student Browsing History
While viewing a student's detailed browsing history, you can add a URL to the Quick Editor by expanding the three vertical dots on the far right side of a URL, and choosing Add to Quick Editor.
Note: You may need to scroll to the right within the browsing history to reveal the three vertical dots. There is a scroll bar at the bottom of the list.
Using the Quick Editor to Change Policies
Once sites have been added to the Quick Editor, you can click the Quick Editor button to open the tool. You will see the sites you have added, as well as a list of the policies that your account has permission to view.
In the top Websites section, you can select one or many sites that you have added to the Quick Editor. You may then choose to Allow or Block them by selecting the buttons.
In this example, both sites will be blocked. You may also select Block all and Allow all to select all listed URLs and Allow or Block each item.
In the lower Policies section, you can choose one or many policies where these filtering decisions will apply.
In this example, any URL allows or blocks that have been chosen will be applied to the two selected policies.
For the policies section, you may also search your policies by selecting any of the ranges here, or by typing in the name of a policy in the search bar:
Additionally, you may choose to Create Policy if you do not wish to apply these filtering changes to an existing policy.
Simply enter a name for the policy in the window that appears, and click Create. Then, select that new policy in the list.
When you've finished, click Continue at the bottom of the page, and a window will appear to confirm the changes that you have chosen.
It will show the selected policies in which the changes will take place, as well as the count of URLs to be changed within each policy. In this case, each policy is having two blocked URLs added.
Once you click Confirm, the changes will apply and you'll receive a status message in the top right.
To view your changes, navigate to your custom policies. If you used Quick Editor while on the affected policy page, you may need to refresh the page to see the changes applied. Note: After refreshing the page, your items in Quick Editor will clear.
Organizational Unit (OU) Permission Restrictions
In Organization Management, admins may have one of four different options for Roles in GoGuardian Admin.
Depending on your Role, as well as the Organizational Units that you have access to, the behavior of the Quick Editor will change.
- Disabled - this user will not be able to access Admin in any way. It will not even appear in Admin.
- Full Access - this user will have full Quick Editor access to all OU's for which they have permission.
- Monitor Only - this user will not be able to see the Quick Editor in GoGuardian Admin at all.
- Filter and Monitor - this permission mirrors Full Access for Quick Editor.
For administrators with either Full Access or Filter and Monitor permission, one or many Organizational Units (OU's) will be selected within Org Management under the Admin section. Administrators will only be able to modify the policies that are applied to these OU's.
Admins with this permission, however, can still view any policy and its configuration, and add URLs from these policies into the Quick Editor - even if they do not have access to that OU itself. This will allow administrators to take sites from any location in Admin and utilize them wherever they do actually have access.
